FAILURE TO DO SO BY THE SPECIFIED DATE COULD RESULT IN THE STUDENT NOT BEING ACCOMMODATED. THIS FINAL EXAMINATION SCHEDULE IS SUBJECT TO CHANGE. EXAMINATION POLICY

 

1.0 It is imperative for students to attend final examinations, submit final projects, and perform practical examinations as a culmination of a course.
2.0 Failure to attend an examination or complete any other portion of a final project or practical may result in a failing grade
3.0 All examinations will be taken during the designated examination schedule. Students who are unable to write the examination at the scheduled time must have a valid reason, present evidence, and pay a fee.
4.0 If for any reason a student misses a final examination, immediately contact the Examination Office by phone (242) 502-6367/6327 or email (This email address is being protected from spambots. It is also recommended that you contact the Chair of your department.

5.0 What are the valid reasons for missing an examination?

  • ill health or injury
    • compassionate grounds (immediately and extended family)
    • representation in significant cultural or sporting activities at a national or international level
    • employment related travel

6.0 What happens if I miss my examination?

  • If a student has a valid reason for missing an examination,
    • immediately contact the Examination Office by phone (242) 502-6367/6327 or email This email address is being protected from spambots. You need JavaScript enabled to view it.
    apply for a special sitting (see Examination Office for an application),
    • attach relevant supporting documentation (see chart below) relating to why you could not sit the examination within the examination period,
    • have the application approved by your Department Chair and Academic Dean,
    • submit the application to the Examination Office.
    • The committee will review the application and respond by email within 24 hours.
    • If approved, the student must take the completed and signed application to Student Accounts Department and pay the fee for the special sitting.
    • The receipt must be presented to the Examination Office for rescheduling to be confirmed.

Reason

Procedure & Documentation

Ill health or injury

If you are unwell on the day of your deferred examination, please ensure you visit a doctor that day so that your medical condition can be appropriately diagnosed and recorded on your medical certificate. If your illness is considered by the medical practitioner to last longer than the day of your examination(s), the dates should be recorded on the certificate. If you are unable to get an appointment with your doctor, there is an after-hours service available. Pharmacy Certificates are not acceptable as a medical certificate. You must see a qualified medical practitioner.

Compassionate Grounds

If a family member dies, you must provide either a death certificate or an obituary or an obituary in the form of a newspaper clipping with your name listed

Representation in significant cultural or sporting activities at a national or international level

Letter from the agency stating your role and participation and detailing the dates and times of the event.

Employment related travel

Letter from the employer stating your name, position, and dates of travel.

 

7.0 Special Sitting of Examinations

  • • Only students who miss their examinations for valid reasons shall be required to pay a $75 fee per examination missed in order to re-sit the examination(s).
    • Special sittings will be held on the first Friday of the following semester at 9:00 a.m.

8.0 The following reasons are invalid for missing an examination and the students presenting these excuses will receive an “F” for the final examination. There will be NO consideration for re-sitting the final examination.

  • • if you misread the examination timetable, forgot, slept in etc.
    • recreational travel (domestic or international)
    • planned or unplanned events, such as weddings and birthday parties
    • routine demands of employment
    • stress or anxiety normally associated with examinations
    • if you did not study or if you were not prepared
    • other grounds considered inappropriate by the Examination Committee

 

 

Rules of Student Conduct during Online Final Examinations

Required Devices and Software Requirements 

  • All final examinations will be conducted online via BTVI’s VLE (Virtual Learning Environment) unless otherwise indicated by the instructor of the course.
  • All final examinations will be recorded via Zoom.
  • Students are responsible for ensuring that they have the necessary software required by department to take their examination. 
  • Students are required to have their cameras on for the duration of the examination. Should the camera turn off for any length of time during the examination, the invigilator may exercise the right to remove the student from the exam. Students will not be allowed to sit the final examination if their cameras are off.
  • Headphones or earbuds are not allowed in the final exam.
  • Students must be equipped with a device with a webcam, microphone, speaker and a stable internet connection available.
  • With the exception of device(s) explicitly authorized by the instructor, students are not allowed to use any device or other form of assistance during an exam. (Cellphones must not be used to take final examinations.)

Academic Integrity and Dishonesty

  • To act in the name of another student or have another person act in your name in order to fulfill any academic requirement or alter one’s academic performance in any way goes against BTVI’s code of academic integrity. Any student found in breach of this code will be subject to the consequences outlined in the Student Handbook.
  • No student should offer or receive assistance during an exam.
  • Students are not allowed to access course materials or external content, including those available through the VLE platform during an exam.
  • The instance of cheating may be established by the invigilator and or the exam committee which may include subsequent reviews of the recordings of the final exam. BTVI retains the right to administer a zero grade for final examinations if a student is found to be guilty of cheating.

Student Conduct during the Final Exam

  • On the day of the exam, clear your work space and find a quiet area free of distraction to sit your examination. Invigilators reserve the right to scan the room and your working area prior to the start of the examination to ensure that the integrity of the examination is maintained.
  • Faces must be clearly visible throughout the duration of the exam. You are not allowed to communicate or chat with anyone virtually or in the room during the exam.
  • Log-on to Zoom and the VLE with the invigilator 30 minutes prior to your exam for check-in and special instructions.
  • Sign on to the VLE using your first and last name. 
  • Ensure that you have a valid form of identification on your work space. The invigilator will ask you for verification with this ID. Acceptable forms of identification include:
  1. BTVI Student ID
  2. Passport
  3. NIB Card
  4. Driver’s License
  • Your invigilator will give you the exam password 30 minutes prior to the start of your final examination.
  • You will not be allowed to start your examination until the exact start time of the exam.
  • Read all instructions and note the time specified to complete your exam. Once the time is up, the exam will automatically stop.
  • If your exam has multiple sections, note that each section will be timed. Pay attention to how much time is allotted for each section.
  1. If you have completed the first section ahead of time, you may move onto the next section.
  2. Ensure that you click SUBMIT AND THEN SUBMIT ALL AND FINISH.
  3. BE ADVISED: Once the time is up and once you have clicked SUBMIT ALL AND FINISH, you will not be able to go back and edit your answers.
  • After completing your exam, the system will prompt you to click ‘SUBMIT ALL’ twice. Note, once you submit your exam, you will NOT be able to go back to make adjustments to any answers. Ensure that you answer ALL questions.
  • Once you have completed your exam, you can log out. Written portions of the final exam will be graded by your instructor.
  • Verify with the invigilator by typing in the Zoom chat space that your examination was submitted properly. DO NOT leave the examination session until you have verified that your examination has been submitted.
  • Once the invigilator has verified your submission, log out of the Zoom session.
  • Once the time is up, students will NOT be allowed any extra time. Examinations that must be uploaded such as word documents or other files must be submitted BEFORE the invigilator says that time is up. No extra time will be given for students to upload their examination. Invigilators will notify students when they have 5 minutes remaining. Students should use this time to upload the remaining portions of the final exam.

Final Examination Disruptions and Technical Difficulties

What should I do if I experience a short-term disconnection (35 mins or less) during my final examination?

  1. Inform the instructor and the invigilator IMMEDIATELY via any media of communication.
  2. Take a photo or screenshot of the site/disconnection.
  3. Send this to your invigilator and instructor’s email as soon as the connection restores.
  4. Once the evidence is reviewed and verified, a decision regarding the examination will be made by the exam committee. Decisions may include the following:
  • An extension of the assessment for the number of minutes the breakdown in communication lasted.
  • A different version of the examination will be administered at a later date and time.

What should I do if I experience a long-term disconnection (More than 35 minutes) during my final examination?

  1. Inform the instructor and exam office IMMEDIATELY via any media of communication.
  2. Take a photo or screenshot of the site/disconnection.
  3. Send this to your invigilator and instructor’s email as soon as the connection restores.
  4. Make a note of the time of the connectivity break.
  5. Failure to submit the evidence within this time period will result in a grade of zero for the final examination grade. In this email, you should include:
  • A photo or screenshot of the issue.
  • A written explanation as to what transpired

       6.Once the evidence is reviewed and verified, a decision regarding the examination will be made by the exam committee. Decisions may include            the following:

  • A different version of the examination will be administered at a later date and time specified by the exam office.

Missed Examinations Due to Valid Reasons

  3. Apply for a special sitting using the special sitting form.
  4. Attach relevant supporting documentation (see chart below) relating to why you could not sit the examination within the examination period.
  5. Have the application approved by your Department Chair and Examination Office/Academic Dean.
  6. Make the payment to the Accounts Department ($75.00 per exam).
  7. Email your receipt to the Examination Office.
  8. Once all documents have been submitted and approved, you will be scheduled for a special sitting for the following semester.
